    • Authorized Residents

    • What is an Authorized Resident?

      • Any individual listed on the Warranty Deed (i.e., an owner) is automatically considered an authorized resident, as is their legal spouse and minor children.
      • All adults 18+ years residing in the unit must be formally approved by the Association to be considered an authorized resident.
      • Minor children currently residing in the unit must complete the Association’s authorization process upon reaching 18 years of age in order to maintain access to the community.
      • Having access today (gate, amenities, parking, or biometrics) does not mean the individual is properly registered.

      A properly authorized resident is someone who has completed the Association’s application process and received formal approval. 

       

      Tenant vs Authorized Resident – Understanding the Difference
      It is important to distinguish between a Tenant and an Authorized Resident, as different requirements apply:
       

      Tenant (Leaseholder):

      • Occupies a unit under a formal lease agreement with the owner
      • Must submit a lease as part of the application process
      • Is subject to all leasing requirements under the Association’s governing documents
      • Has a defined lease term
      • Is granted access rights based on lease approval

       

      Authorized Resident (Non-Leasee Occupant):

      • Resides in a unit without a lease (e.g., family member or companion)
      • Non-resident who requires regular access (e.g., caregiver)
      • Must still be formally approved by the Association
      • Does not have a landlord-tenant relationship with the owner

       

      Screening Requirements

      • All residents are subject to a criminal background check.
      • In addition, Tenants (leaseholders) are subject to a credit review as part of the approval process.
      • Owners listed on the Warranty Deed and their legal spouse are exempt from credit and background screening.

       

      Registration Requirement for Authorized Residents
      If you have a family member, caregiver, friend, or any other individual who you would like to have continued access to the community, they must complete the registration process outlined below:
       

      1. Owner Authorization Letter The owner must provide a signed and dated letter including:

      • Full name of the individual
      • Unit address where they are permitted to reside
      • Confirmation that they have permission to reside in the unit
      • Whether they have any financial obligation toward the unit (if none, please state this)
      • Whether there is an end date to their residency (if none, please state this)

       

      2. Application Submission
      The individual must complete the online application at www.applyfastnow.com using code SM001

      • When prompted for a lease, upload the owner authorization letter instead

       

      3. Association Approval
      Final approval is required by the Association. Once approved, the individual will be eligible for:

      • Biometric access
      • Gate access
      • Parking privileges

       

      IMPORTANT NOTES

      • This process typically takes approximately 30 days depending on how long it takes the applicant to get all information uploaded to www.applyfastnow.com. Early submission is strongly recommended.
      • Access to new gate, biometric, and amenity systems will be limited strictly to approved authorized residents.
      • Individuals who are not properly registered will not be transitioned into the new systems, regardless of current access.

      These procedures are in place to ensure the safety, security, and proper management of the community, and to ensure that all residents are properly documented and approved in accordance with the San Matera Rules & Regulations.

      2. A maximum of two (2) pets is permitted per unit
      3. Aggressive dog breeds are not permitted as household pets

        • Unit Keys Policy

          Pursuant to Sections 11.1(a) and 17.12 of the San Matera Governing Document, the Association may require access to units for emergencies, life-safety concerns, maintenance of common elements, storm preparation, and other Association-authorized purposes. To facilitate such access, owners must provide the Management Office with a current working key to their unit.

          Requirements

          1. Owners must provide the Management Office with a working key whenever a lock is changed or rekeyed
          2. If a key is not on file and the Association requires access as authorized by the Governing Documents, any costs incurred to obtain access, including locksmith services, repairs, or lock replacement, will be charged back to the unit owner.
          3. Tenants may not change or rekey locks without the owner’s approval. Any approved lock change must be accompanied by a current working key being provided to the Management Office.

          All keys are maintained in a secure location and used only as authorized by the Governing Documents and applicable law.

           This form is to register for a direct debit service to pay for your monthly dues eliminating the need to write a check.         • I have included a Blank Voided Check (must be a bank located within the United States) and hereby authorize my financial institution to debit my account in the name of my Homeowners Association. I understand this debit will appear on my bank statement between the 1st and the 5th day of each month (if monthly assessment) or the 1st and 5th day of the first month of the quarter (if quarterly assessment). In addition, I understand this auto debit will remain until I notify my association in writing 30 days prior to canceling the auto debit. I also give the association authority to increase the auto debit as the Board of Directors increases the maintenance fees.

        • Consent To Online/Electronic Voting And/Or Consent To Receive Electronic Notice

          1. ONLINE/ELECTRONIC VOTING. By signing this consent form, I consent to voting electronically online/electronically for elections and other unit owner votes for San Matera the Gardens Condominium Association, Inc. to the fullest extent permitted by law with respect to the above-listed unit(s) and pursuant to the provisions of the Board’s Resolution authorizing electronic voting (“Resolution”). I designate the following email address for online/electronic voting purposes. The undersigned understands and agrees that in order to be valid, this consent form must be signed and on file with the Association at least twenty-four (24) hours prior to the meeting or election in which the Unit Owner wishes to vote online/electronically, and that all online/electronic votes shall be cast in advance of said meeting at which time the ability to vote online/electronically shall be deemed closed for that meeting or election. I further understand and agree that, in order to use a different email address for casting votes online/electronically, I must notify the Association in writing of the change of email address no later than fourteen (14) days prior to the meeting or election in which I wish to vote by online/electronic means. If I do not provide timely written notice of this change of email address to the Association as provided herein, I further understand and agree that I may not be able to vote online/electronically until the next membership meeting and/or election.

        • 2. ELECTRONIC NOTICE. I consent to receiving notices by electronic transmission for meetings of the Board of Directors, meetings of Committee or meetings of the Unit Owners/Membership of San Matera the Gardens Condominium Association, Inc. and with respect to any other notices that are statutorily permitted to be sent via electronic transmission. I designate the following email address for electronic notice purposes: The undersigned understands that mailed/delivered paper notices may not be provided to me with respect to the above-referenced unit(s) unless the undersigned has timely revoked consent to receipt of notices by electronic transmission in writing. Please be aware that if you consent to receiving electronic notice of meetings your email address designated for that purpose will be an official record of the Association and subject to inspection and photocopying by all Association members.

        • Trash Disposal At San Matera The Gardens

          To help maintain a clean, safe, and attractive community, all residents are required to follow the Association's trash disposal procedures.
           

          TRASH COMPACTOR USE
          The community compactor is provided for the disposal of normal household garbage only.

          • All trash must be securely bagged and tied before being placed in the compactor.
          • Household trash must be placed inside the compactor. Do not leave trash bags, boxes, or loose debris outside the compactor area.
          • Cardboard boxes must be flattened before disposal.
          • Recyclable containers should be emptied before disposal to prevent leaks and odors.

           

          DUMPSTER USE

          • Do not place trash, cardboard, or other materials on the ground outside the Dumpster.
          • Do not overload the compactor or force oversized items into the equipment.
          • Keep the Dumpster area clean and free of loose debris.
          • If the Dumpster is full, contact the Management Office for instructions before leaving any items at the site.

           

          PROHIBITED ITEMS
          Other than standard household trash, all other items are prohibited from being disposed of in the Trash Compactor or Dumpsters. Residents are responsible for arranging proper disposal of these items through private vendors or local waste collection services.
          The trash compactor and dumpster areas are monitored by video surveillance. Owners are responsible for ensuring their occupants, guests, tenants, and vendors comply with these rules. Violations will result in fines, cleanup and repair charges.
           

          VALET TRASH SERVICE

          • Collection days are Monday, Wednesday, and Friday evenings.
          • Containers may be placed outside your unit between 6:00 PM – 8:00PM
          • Collection begins promptly at 8:00 PM.
          • Containers must be returned inside the unit by 9:00 AM the following morning.
          • A maximum of two (2) properly tied 13-gallon trash bags will be collected.
          • Trash must be placed in a suitable container and may not exceed 25 pounds, must be properly tied, no tears or leaks

           

          HELP KEEP SAN MATERA BEAUTIFUL
          Proper use of the trash compactor helps reduce odors, pests, maintenance costs, and unnecessary expenses to the Association. Your cooperation is appreciated and helps maintain the quality of life for all residents. Thank you for doing your part to keep San Matera clean and attractive for everyone.

        • Amenity Use

          To help protect the safety, security, and enjoyment of our amenities, residents must carry and present a valid photo ID upon request by Management, Maintenance, or Security personnel.
           

          GIVING OTHER RESIDENTS ACCESS
          Residents should also never allow others to enter amenity areas by opening doors or providing access. If someone is unable to access an amenity, there may be a valid reason, including a restriction resulting from a violation of the Association’s Rules and Regulations. For this reason, all residents and guests must enter using the Association’s approved access-control system and may not be admitted by another resident.
           

          AMENITY RULES AND HOURS

          LANDLORD ACCESS TO AMENITIES When a unit is leased, the tenant becomes the authorized user of the Association’s amenities. Accordingly, the owner’s amenity access privileges will be deactivated for the duration of the tenancy. Owners who are not residing in the unit may not use the amenities, access the facilities through a tenant’s credentials, or request that a tenant provide access on their behalf. Amenity access rights may be restored to the owner upon expiration or termination of the lease and completion of the Association’s move-out procedures.

          I have read and understand the Association’s amenity access policies, including the requirement to present valid photo identification upon request, the prohibition against allowing any person to enter an amenity area without using the Association’s authorized access-control system, that I forfeit my rights to Amenity Access to my tenant and that I have read the rules and regulations for Amenity use.

          OWNER PORTAL Once your ownership has been established in our management system, you will receive login credentials to access the Owner Portal, where you can:

          • View governing documents, financial reports, insurance information, meeting minutes, rules and regulations, parking information, and more.
          • Submit online forms, including architectural applications, maintenance requests, records requests, and other Association forms.
          • Access FAQs covering association assessments, guest access, contact information, community procedures, and other frequently asked questions.

           

          REALTOR PORTAL
          If you lease or sell your unit, your Realtor should use the Realtor Portal as their primary resource. It contains the information needed to successfully market your property and navigate San Matera's leasing and sales procedures. We strongly encourage all Realtors to review the FAQs before conducting business on your behalf.
           

          RESIDENT PORTAL
          If you reside at San Matera, the Resident Portal is your primary source for day-to-day community information, services, announcements, and resident resources.
           

          USING OUR ONLINE RESOURCES
          We encourage all owners and residents to become familiar with the website and its many resources. Questions that are answered on the website will be redirected there so Management can devote more time to issues requiring personal assistance.

        • Schedule your New Owner Appointment

          Please use the link below to schedule your appointment with the Management Team. During your appointment, you will meet with the Property Manager, receive your gate access RFID(s), and complete your biometric enrollment for amenity access.
